Setting Proper Par Levels
Par level refers to the number of linen sets you need to keep operations running smoothly. The industry standard is three par: one set in use on beds, one set in the laundry process, and one set clean and ready in storage. For Phoenix Metro hotels with high occupancy rates, we recommend 3.5 par to account for the heavier turnover during peak tourist season (October through April).
Calculate your par level by multiplying the number of rooms by the number of linen pieces per room by your par multiplier. For example, a 100-room hotel with 8 linen pieces per room at 3.5 par needs 2,800 pieces in total inventory.
Understanding Linen Lifecycle
Hotel linens do not last forever, and understanding their lifecycle prevents quality degradation. Quality cotton sheets typically last 200 to 300 wash cycles before they need replacement. Towels last 150 to 200 cycles. Pillowcases, which endure more direct contact and staining, may need replacement after 150 cycles.
- Sheets: 200 to 300 wash cycles (approximately 2 to 3 years)
- Towels: 150 to 200 wash cycles (approximately 1.5 to 2 years)
- Pillowcases: 150 wash cycles (approximately 1.5 years)
- Duvet covers: 200 wash cycles (approximately 2 to 3 years)
- Bath mats: 100 to 150 wash cycles (approximately 1 to 1.5 years)
Professional laundering extends these lifespans compared to in-house operations because commercial equipment and processes are optimized for textile longevity.
Quality Inspection Standards
Implement a quality inspection process at multiple points. Inspect linens upon return from laundry for stains, tears, and wear. Inspect again during room setup. Train housekeeping staff to remove any item that does not meet your standard and route it for re-washing, repair, or retirement. Retired linens should be repurposed as cleaning rags or donated, never mixed back into guest inventory.
Inventory Tracking and Loss Prevention
Linen loss is a significant expense for hotels. The industry average loss rate is 10 to 15 percent per year. Common causes include guest theft, damage beyond repair, miscounting, and items mixed in with trash. Implement a barcode or RFID tracking system for high-value items. Conduct monthly inventory counts and compare against purchase records.
